If you use the Kashflow online accounting platform to manage your business you can connect your Kashflow account to your ShopWired account so that orders placed on your website will be automatically 'sent' to Kashflow as invoices.

Once you've installed the app you'll need to follow the guidance below.

Enabling API access

Firstly, you'll need to enable API access within your Kashflow account. From within Kashflow, select 'apps' from the left menu and then click 'api settings' in the top right hand corner.

As shown in the example above you need to make sure that Enabled is ticked, Enable Remove Login (more info) is ticked, Restrict Access to specific IP addresses is not ticked.

Save your changes once done.

Within the app in your ShopWired account, you'll then need to enter your Kashflow account username and password.


Kashflow has a system of projects, you can read more about projects on Kashflow's help guides here. If you haven't already done so, you'll need to create a project within your Kashflow account that orders received through your ShopWired account are assigned to. You can read how to create a project within Kashflow here.

Once you've created at least one project on your Kashflow account, you'll be able to select it from the project drop down list within the app on ShopWired. You can click the 'refresh list' link to get the latest set of projects from your Kashflow account.

Currency code and exchange rate

Finally, you'll need to enter a currency code and exchange rate. If your Kashflow account and {{ }] account are both transacting in UK £ then you can enter GBP for the currency code and 1.0 for the exchange rate.

You should then find the app is configured similarly to the example shown below.

Payment settings

When payment is made for an order on your website we'll automatically create the payment in a Kashflow bank account.

We'll also assign the payment to a Kashflow payment method.

If you receive an order that is placed using the offline payment method then a payment will not be created with the invoice in Kashflow.

From the Default Kashflow Bank Account list you can select the account on Kashflow that we should allocate the payment to.

From the Default Kashflow Payment Method list you can select the payment method on Kashflow that we should allocate the payment to.

Using the section beneath you are able to specify different Kashflow bank accounts and Kashflow payment methods for different payment gateways that your users might pay you through on your ShopWired store, e.g. PayPal, Stripe. Where a payment method hasn't been specifically configured, we'll use the default payment method (described above).

In the Payment Method Name field you can enter the name of the payment method, e.g. Stripe, and then from the drop down list(s) select the corresponding Kashflow Payment Method and Kashflow Bank Account that the payment should be allocated to.

You can add as many payment methods as you like.

Obtaining the correct payment method value

When you enter a value in the Payment Method field you will need to make sure it corresponds exactly to the way that ShopWired displays it.

To obtain a list select 'orders' from the menu and then 'view orders' and click the 'more filters' link on the top right of the orders table. Next, click into the 'by payment method' field and you'll see a list of all the payment methods that have been received on your account.

Exporter settings

To enable the Kashflow app to begin exporting orders from ShopWired tick 'yes' under the 'enable the export' field and click the 'save changes' button in the bottom right.

Historical orders

Historical orders are defined as orders received on your ShopWired account before activation of the Kashflow app. If you'd like to export all historical orders received on your ShopWired account click the 'export historical orders' button.

Export errors

From time to time the app may encounter an error when trying to export an order from ShopWired to Kashflow. Where this happens, the details of which order failed to export and the reason for it will be displayed in the 'export errors' table.

For each order that fails to export, the error returned by the Kashflow system will be displayed. This may allow you to fix the error on the ShopWired order, by editing it, and then you can click to retry exporting the order.
