Managing stock

Once a SKU code has been entered on a product you can begin using the stock management system to manage stock levels. Keep in mind that you cannot manage stock levels on products without SKU codes.

How the stock system works

By using the stock management system you can prevent customers from buying products that you don’t have the stock for.

As soon as you have entered a SKU code the system will begin to manage your stock. If you have not input a stock quantity number it will automatically default to 0, and your customers won’t be able to buy your product.

Whenever a product is purchased (either by the customer placing an order through your website or by you creating an order on the system) the management system will deduct the products from the stock values. When your stock quantities reach 0 the customer will see an out of stock message and won’t be able to purchase the product:

If a customer tries to add to their cart more of a product than you have the stock for, the system will only add the quantity that you have and the customer will see a message telling them this:


Using the ‘Manage Your Stock’ page

To manage your stock select Products > Manage Stock from the menu.

The ‘Manage Your Stock’ page shows you every product that has a SKU code and the current stock quantities:

To search for a product use the ‘Search Your Stock’ box.

To view all products in a category use the ‘View Products in Category’ box.

You can import/export stock using the buttons in the top right corner. This can be useful to you if you want to update your stock quantities in bulk. Click here to learn how to do this.

You can change the stock quantities of all of your products on this page. To change the quantity click the number under ‘Quantity’ to turn it into a field you can edit:

Change the number to the new value. Click anywhere else on the page to save the change. There is no ‘save changes’ button to push.


Managing stock quantities through the product page

Another way to change the stock quantity of a product is from the product creator/editor page.

If your product has no variations, use the ‘Stock & Delivery Management’ section and change the number in the ‘Available Stock Quantity’ box:

If your product has variations, use the ‘Product Variants’ section and change the number in the ‘Stock’ box:


Stock alert app

To set alert levels and receive alerts by email when your stock is running low for a certain product you will first need to install the ‘Stock Alert’ app by selecting Apps & Extensions > Available APPs from the menu.

Once the ‘Stock Alert’ app is installed you can add alert levels to your products on the product creator/editor page or on the ‘Manage Your Stock’ page.

To use the ‘Manage Your Stock’ page to set the alert level use the column named ‘Alert’. Select the + icon (or the number if there already is one) and enter what you would like the alert level to be:

Click anywhere else on the page to save the information.

To use the product’s page to set the alert level find the ‘Stock & Delivery Management’ section. Select the tick box to enable stock alerts and enter in the box what you would like the alert level to be:

Select save changes or save + close to save the information.

Please note!

Stock alerts cannot be added to individual variations of a product. The stock alert only works on the base product.
